Dear SFUSD employees,
We are writing to clarify our time entry guidance for the observance of César Chávez Day on March 31, which falls during the district’s Spring Break (March 27 - March 31). César Chávez Day is a non-work day for SFUSD school sites, and employees at sites who are not working do not need to enter a paycode for this day. Please leave this row on the timesheet blank unless you are working. Central office employees should treat César Chávez Day as a regular work day.
Time entry guidance for Spring Break is as follows:
- Site-based TK-12 Certificated staff and Certificated Admin staff will leave all of the dates blank.
- Certificated EED are working March 27-30, but are off on Friday, March 31. They should leave March 31 blank.
- Site-based classified staff (clerks, site-funded custodians, paraeducators) are not scheduled to work and can leave the timesheet blank, but will need to request Vacation, Floating Holiday, or Comp Time to get paid. The request must be done through EMPowerSF; no blue sheets.
- Central offices are open during Spring Break. All central office-based employees will enter work time or have auto-populated work time during this week, unless time off is requested.
- Central office administrators (i.e. program administrators, supervisors) have Non Service Days loaded to their leave bucket to use for their off-contract days. If they work their scheduled hours, they do not need to take any action. If they do not work because of their off-contract days, they should submit a time-off request in EmpowerSF with the time-off type of “Non Service with Pay.”
What’s the difference between a holiday and a non-work day? Any federal holiday where all of SFUSD is off is categorized in the timesheets as a Holiday. Work done during a holiday is eligible for holiday pay.
If only a subset of district employees are not working, we call it a Non-Work Day. Recent examples include Winter Break and Lunar New Year. César Chávez Day is an example of a non-work day, as schools are closed but central offices are open.
Your partnership is essential to our ability to process payroll so that our employees can be paid accurately and in a timely manner during Spring Break.
Important Note to Managers: Bi-weekly timesheets need to be approved before the end of day on Friday, March 24. Managers who will be off during Spring Break will have to ensure that all time off and time data are accurately recorded in the timesheets of their bi-weekly paid staff.
Please continue to enter your time and check your timesheet before submitting. Incomplete timesheets will contribute to pay issues. The Payroll team is committed to doing right by our employees by resolving system issues and addressing reported issues in our ticketing system. We appreciate employees who have partnered with us in this process by providing timely follow-up and timesheet corrections on their reported issues.
