New: Certificated Staff Have Auto-Populated Work Hours on Timesheets
As of June 21, 2023, certificated employees have their contractual work hours pre-populated on their timesheets for the days they are scheduled to work. Instructions for how to enter time as a certificated employee have been updated here. If they work less than 1.0 FTE, their schedule in Time & Attendance will need to be accurate for the 2023-24 school year. More information has been sent to certificated staff in a separate email.
Timesheets are due on August 15 and August 18 for Bi-Weekly and Monthly
- Timesheets for bi-weekly paid educators, paraeducators, and classified civil service staff are due on 8/15. If you are paid bi-weekly, make sure you submit your timesheet as well as all time off requests (including 18 PD hour requests) before 8/15 for your supervisor to approve.
- Timesheets monthly paid staff are due on 8/18 since the monthly pay period end date falls on a Saturday. If you are paid monthly, make sure you submit timesheets as well as all time off requests (including 18 PD hour requests) before 8/18 for your supervisor to approve.

Accessing EMPowerSF
- If you are new to SFUSD, welcome! EMPowerSF is our system of record for employee data and attendance. Log in to EMPowerSF empowersf.sfusd.edu using your SFUSD Google email and password. If you run into access errors or need to reset your password, please go to help.sfusd.edu.
- New hires who do not yet have a Google account must wait for their Google credentials before logging in to EMPowerSF. It can take 1-2 days from the time you are fully onboarded into a position to receive your SFUSD Google credentials.
- Employees who changed positions, effective July 1 or later, should already see their updated position in EMPowerSF. If you are still seeing otherwise, our target is to move all Certificated employees to the correct position by 8/22.
- Employees returning from Sabbatical and Unpaid Leave should see their updated positions in EMPowerSF no later than 8/10.
REVIEWING ORGANIZATIONAL CHARTS & TIMESHEET ROSTERS
Reviewing Organizational Charts and Timesheet Rosters
Employee Central organizational charts (seen in Home → Company Info) reflect the most updated roster of direct reports for managers. Payroll processing can impact how long it takes for Time & Attendance to mirror the rosters in Employee Central. This means that a Supervisor can see someone in the Org Chart but not see their timesheet in Time & Attendance. This is due to payroll being locked during processing, but it should show up automatically in non-payroll weeks. In any case, each employee has a timesheet and will be paid if they have entered work hours.
Understanding What Pay Codes to Use
- Site-Based Certificated Staff and Administrators will have Staff Development Day pre-populated in their timesheets for 8/10, 8/11, 8/14. No action or pay code is needed for those dates if you worked. Staff Development Day is automatically populated on timesheets because the staff development days are mandatory. - Paraeducators who will attend pre-service institutes can opt to use a combination of their 7-hour PD day— Staff Development Day— and the 18 PD Hours. Only their manager or timekeeper can input the staff development day pay code, so they will have to inform their manager or timekeeper after attending the PD. The 18 PD Hours can be requested through the time off request process. Paras should use their staff development day first as it has to be used during pre-service days.
- Certificated Staff and Paraeducators who wish to use the 18 PD Hours must request it via the time off request process. It must be approved by the manager before the entire timesheet is approved.
Summer Assignments
If you had a summer school assignment, please be sure to enter your time starting on 8/16 on your school-term assignment timesheet. All summer programming will end on 8/15 or earlier. If you have a summer assignment, please do not enter time in that timesheet moving forward, and only enter time in your school-term assignment’s timesheet.

What if I can’t access my timesheet yet?
Please connect with your direct supervisor prior to the end of your pay period to have work hours entered in your timesheet. We are working on entering employee data as fast as we can to generate email accounts.
I’m a site-based employee. When can I access Synergy?
Access to Synergy is automatically provided once an employee’s email is created. If you or your staff are still unable to access Synergy using your Google credentials, please request access.
How do I set up my access to the substitute system?
If you are in a sub-eligible job classification you should have received instructions on how to set up your substitute system access during onboarding. Here is an employee reference guide for setting up your access to our substitute system, eschools. You must have your Access ID number, which is your Employee ID number without the leading zero. Once you have registered with the substitute system, you may access and manage requests online at sfusd.eschoolsolutions.com or by phone at 415-345-0064.
When can I enroll my benefits as a new hire?
You will be able to enroll your health benefits beginning on your first scheduled day of work, but not before. You will have 30 days from your first day of work to enroll your benefits. Please review the enrollment instructions provided in your onboarding email.
When is Open Enrollment?
If you wish to change your health benefit election, you may do so during Open Enrollment in October 2023. Changes will be effective starting from January 1, 2024.
