Transcripts, Student Records & Work Permits

NOTE: All Transcripts, Diploma copies, Work Permits, Enrollment Records, and Education Verifications must be ordered by clicking on the appropriate sections below:

The Transcript/Work Permit Office is open to the public Monday through Friday 8:30am to 4:30pm and is located at 20 Cook St., Room 11, San Francisco, CA  94118. Masks are strongly recommended. 

Please note that all document requests need to be requested and fulfilled via our online systems. Computers will be available in the transcript office to make requests as needed.

Updates:

  • Beginning October 24, 2022, the Transcript & Work Permit Office hours will change to 8:30am to 4:30pm.

1. ORDER DACA Records

The DACA program was suspended on July 2021, as a result, we are not currently providing any documents for DACA.  If you need a transcript, please follow the transcript instructions found in #3, ORDER High School Transcripts - Former Students / Alumni.

To Be Eligible to Order DACA Records, you must meet ALL of these requirements: 

  1. Born after June 15, 1981
  2. Born outside of the United States and came to the U.S. before 16th birthday
  3. Continuously resided in the United States since June 15, 2007
  4. Physically present in the U.S. on June 15, 2012, and at the time of applying
  5. Currently undocumented (as of June 15, 2012)
  6. Currently in school, have graduated or obtained a certificate of completion from high school, have obtained a general education development (GED) certificate, or are an honorably discharged veteran of the Coast Guard or Armed Forces of the United States
  7. Have not been convicted of a felony, significant misdemeanor, three or more other misdemeanors, and do not otherwise pose a threat to national security or public safety

If you meet all of these requirements above:

  1. Please email transcripts@sfusd.edu
  2. Attach any ONE of the following photo ID types for the student you are requesting records (school ID, passport, CA ID are all acceptable)
  3. Include the student's full name and 
  4. date of birth in the email
  5. Please state in the email that this is a DACA request

 

 

2. Transcripts - Current SFUSD Students

This section is for students who are attending SFUSD PUBLIC Schools (see list below):

  • For students attending charter / county schools, you MUST contact the school directly in order to get your unofficial or official transcript or records

    Unofficial Transcripts:

    • Students can view their latest Unofficial Transcript in the "Documents" tab of their StudentVUE 
    • Parents can also view their students' Unofficial Transcript in the "Documents" tab of their ParentVUE (select the student you want to see first)
    • Questions regarding transcripts, and accessing unofficial ones, should be directed to your student's school counselor during the school year.

    Official Transcripts:

    • School sites should process official transcript requests during the school year. Please connect with your school counselor or counseling registrar.
    • The Transcripts Office will send senior final transcripts to the college/university of choice in June after the students graduate. 

    Alternatively if a high school student attending a public high school wants to request a transcript to be sent electronically during the school year, they may use Parchment to order and pay for official transcripts and receive notifications on the status of those orders.     • DACA Applicants: please see "ORDER DACA Records" section above
    • SFUSD now uses Parchment to process all Transcript requests:
      • Official Electronic Transcripts cost is $8.00 each
      • Official Transcripts sent by mail cost:
        • USPS Domestic: $10.75 each
        • USPS International: $13.25 each
        • FedEx Domestic Overnight: $33.00 each
        • FedEx International: $57.50 each

      • You will be taken to Parchment’s website and asked to create an account.

    4. WORK PERMITS

    UPDATES

    - 08/12/2022: Students attending a Charter or Private HS in San Francisco that need a work permit must go directly to their school to request the work permit. The SFUSD work permit office can assist with work permits for Charter and Private HS only during summer break and if their school is closed.

    - 03/02/2021: Work Permits are now processed using our new and completely online system:

    • For identity purposes, you must use your student email address
    • You will also need to input different email addresses for your 1. parent / guardian and 2. supervisor / employer (can not be the same as your email address)
    • Please enter your first and last name exactly as it appears on your Social Security Card
    • Be careful not to open up multiple applications, which will delay the Work Permit from being issued 
      • Use only the link provided on the first email InformedK12 sends you

    Enter in all information correctly. Frequent errors we see are:

    • Not entering in last name in the Minor's Name field
    • Incorrect birth date on both pages of the application 
    • Not signing the form with full and complete name
    • These errors will cause the application to be returned to student for corrections and require a second round of approvals from Parent/Guardian and Employer

    “I submitted my application a while ago. Why haven’t I received my Work Permit yet?”

    • We are getting this question a lot and 90% of the time it is because 1. your parent / guardian and / or 2. employer have not completed their sections yet
    • There are 4 steps to getting your Work Permit and each person must complete their section in order for it to move on to the next step
      • Step 1: Student initiates application, fills out their section, and submits
      • Step 2: Parent / guardian will then receive an email asking them to complete and submit their section
      • Step 3: Employer will then receive an email asking them to complete and submit their section
      • Step 4: SFUSD Work Permits office receives an email notifying us that all Steps 1-3 are complete. Our office will process the Work Permit in 1-2 business days. 
    • Once these 4 Steps are complete:
      • Student will receive another email from InformedK12 that their Work Permit is ready to be viewed
      • The student should then notify their employer it has been approved 
      • The employer can access and download the official Work Permit through the original email they received from InformedK12 (to fill out their section). They must keep a copy of the Work Permit on file for a minimum of 3 years

    IMPORTANT INFO REGARDING WORK PERMITS:

    • UPDATED RENEWAL PROCESS: if you are still working for the same employer at the time the work permit expires, you must submit a NEW application (you can no longer use a copy of your old work permit)
    • CA Minor Work Hours
    • We do not process Work Permits for any PRIVATE SCHOOLS or HOME-SCHOOLED students 
    • Students must renew their work permit with a separate application at the beginning of each school year
    • Students must also have a separate work permit for each distinct job
    • The following students do NOT need work permits:
      • Those who have graduated from high school, regardless of age
      • Those who have passed the California High School Proficiency Exam
      • Those who are 18 year of age or older

    5. ORDER High School Diploma Copy

    SFUSD considers your transcript (not your diploma) to be THE official proof of graduation

    • Diplomas are typically for personal / display use
    • SFUSD offers two types of diploma copies that you can order
    • Choose one or both once you are taken to the Parchment website through the school links below

    1. Official Certified Diploma Copy

    • Electronic - $15 
    • Mail - additional $2.75
    • Receive in 1-3 days electronically (plus additional mailing time if paper copy ordered)
    • This is a “plain” copy of your diploma

    2. Ceremonial Diploma

    6. ORDER Proof of SFUSD Enrollment

    We can usually provide documentation that shows which schools you attended while in SFUSD, the years you attended, and the address(es) you lived at.

    • Some records prior to 2014 do not have specific middle or elementary schools listed or your addresses
    • Most records prior to 1990 do not have specific elementary schools or addresses listed

    SFUSD uses Parchment to process all Enrollment Records requests.

    • Electronic Records cost $8.00 each.
    • Official Records sent by mail cost:

    7. ORDER Education Verifications or Transcripts (for 3rd Parties ONLY)

    • SFUSD now uses Parchment to process all Graduation / Education Verification requests.
    • Universities and colleges, or other 3rd parties, may request transcripts using the same links below; HOWEVER, for reduced cost, we recommend that the student or candidate order them directly using the “ORDER High School Transcripts - Former Students / Alumni” section above.
    • The cost is $25.00 per request.
    • You must upload the candidate’s signed Release of Records into Parchment.
      • We accept Electronic Signatures.
    • Select the school the candidate graduated from, or the last school they attended

    8. School Transfer Records Requests

    • If your student is transferring schools, please contact their school site, during the regular school year, to request records, since the school sites hold the complete cumulative files that contain all records 
      • July 26, 2021 UPDATE: School site admins are back at their schools, so please contact them directly
      • Contact information for your student’s school is listed in your ParentVUE account
      • You can also search for general school site contact info here  (more specific school site email addresses are in your ParentVUE)

    Special Education Records

    • Current students-Special Education Records are held at your students school of attendance. Request records from School Site Principal. 
    • If it is summer, student has graduated, or student is no longer enrolled in a SFUSD school, contact:
